
Multi-floor office access control: a checklist for Vietnam teams

A multi-floor office needs more than a reader at the main door. Teams must manage employees, visitors, contractors, reception, guards, lifts, meeting rooms, server rooms, finance rooms, records storage, parking, and after-hours exceptions.
Start with floors, zones, and risk levels
Before choosing cards, QR passes, face credentials, turnstiles, or intercom devices, map each area: lobby, turnstiles, office floors, meeting rooms, restricted rooms, lift access, stair doors, delivery areas, and parking gates. Each zone should have a clear access policy, schedule, and audit depth.
Make employee rights role-based and schedule-aware
- Access rights by department, role, site, floor, and restricted room
- Start date, end date, and employment status tied to permission validity
- Schedules for office hours, after-hours work, weekends, and guard shifts
- Approval flow for temporary access to another floor or sensitive room
- Full history for granted access, denied access, and manual door release
Keep visitors and contractors separate from employees
Meeting guests, candidates, partners, and contractors should not borrow employee permissions. A visitor or contractor record should include host, purpose, company, validity window, allowed zones, credential method, approval status, and automatic expiry.
Treat lift access as part of access control
In multi-floor offices, lobby access without lift control is often incomplete. A visitor approved for one floor should not receive broad access to every floor. Lift permissions should follow the visitor appointment, contractor job, employee role, or operator shift.
Audit history should support investigation
Teams need to search by person, door, floor, lift, device, time, result, denial reason, and manual override. For sensitive areas, access events should be easy to compare with related video instead of forcing operators to scrub camera footage manually.
